Professional advice and reality checks from European wedding expert with insider recommendations on how to plan your European destination wedding.
Planning your destination wedding in Europe begins with a dream. A place in your imagination where you found twinkling lights, the scent of orange blossoms and sound of genuine laughter around a table where everyone you love is gathered.
And then reality gently kicks in. Flights. Venues. Prices. Guest logistics. Family expectations. The dream is still there, but suddenly, the details multiply.
After over 10 years planning destination weddings across Southern Europe, we’ve seen it all and learned a few things along the way. We’ve helped countless wedding planners and couples find the right venue, assemble the best vendor team and iron out all those daunting international logistics. We’re the European destination wedding expert that wedding planners rely on for unbiased opinions, off market venues and vetted local vendors. We like to work behind the scenes to make our partners look good but today we’re pulling aside the veil to reveal a little bit of how it works behind the scenes.
Here are our best Dos and Don’ts for planning the perfect European destination wedding so you can proceed calmly, intentionally and without losing the romance along the way.
The Do’s
Create a wedding website early
Think of your wedding website as the first welcome note to your guests and. This is where their journey begins.
Share dates, events, dress codes, locations, suggested activities, travel advice, and practical tips. Add flight recommendations, booking contacts, and gentle guidance so no one feels lost. It’s also a good way to see the wedding from the guests perspective and see what concerns they might.
Start your venue search with clarity
Before falling in love with photos, define your 3-5 non-negotiable and stick to it. Then make a list of should haves and a list of would be great if. Clarity saves time and keeps you on track.
Not all venues that photograph well work well. Likewise, some great venues do not have a great website or pictures. An expert can help determine the difference and may have personal knowledge of the venue. Logistics, accessibility, guest flow, noise restrictions, and local rules matter more than you think. Getting a professional’s opinion is an easy way to save you money and heartbreak later in the game.
Our Venue Search service starts at 750€ for single region search : 4–8 hand-selected venues or villas, presented in a chic brochure, budget checks, availability, and honest pros & cons !
Having a Europoe contact on site is also a good idea for visit your venue, a site tour changes everything.
“I don’t know how you do it, but you are incredible at finding exactly what I’m looking for!”
Do a site visit
If you can, do a site inspection to check that venue meets your expectations and doesn’t smell weird. That gorgeous Renaissance castle you saw on Instagram, you know, the one with the fairytale turrets and a grand staircase, may not smell as fresh as it looks. Or you may discover that the pictures on the website are not at all representative; for better or worse.
Ideally the site visit would be done at the same time of year as the wedding so you can get a sense of what it will look like at the time of your celebration. If you cant do a site visit yourself, ask your wedding planner to do it. They’ll be able to vet any potential trouble and visualise the optimum event flow.
Book flights and rooms well in advance
Europe fills up quickly, especially in peak season. Early planning means better options, better prices, and fewer compromises.
Design the guest experience from start to finish
A destination wedding is also a trip for your guests. Think about how it feels from the moment they open your invitation to the moment they head home. Clear information, smooth transport, thoughtful timing and small touches make all the difference.
For couples who want guidance without handing over the entire planning, having a trusted team step in only where it matters most can make all the difference.
Secure guest accommodation
Whether you decide to pay for it or let guests pay, securing accommodation for guests as soon as you book your venue is essential to ensuring your guests get the best price at the best rooms nearby. It reassures guests that you are thinking of their comfort and convenience, simplifies logistics for your planner, and creates the inclusive feeling that everyone is together for the celebration.
Plan transport for the wedding day
Arranging shuttles or private transfers for the big day ensures everyone gets there on time. No one should be checking Google Maps or worrying about parking on your wedding day. Also we don’t want your nearest and nearest driving after all that champagne.
Use an RSVP manager
Tracking responses, dietary needs, arrivals, and departures can quickly become overwhelming. One system, one place, one source of truth keeps everything under control.
Zoom out and focus on the big picture
It is easy to get caught up in tiny details, but your guests will remember the atmosphere, the laughter, the moments of connection. Keep your eyes on the experience you want to create, not the perfection of every element.
Sometimes, a fresh outside perspective helps reconnect all the pieces and bring coherence to the experience you’re creating.
The most important DO:
Day-of Coordination !
If you are DIY, and dont have a wedding planner you still need day-of coordination. Do NOT overlook this. Many venues and vendors require DIY weddings to have day-of coordination because it’s absolutely essential even if it’s just an elopement with no guests. No matter how well you plan, your wedding day is not the moment to manage timelines or logistics. It’s the moment to be present.
Day-of coordination ensures everything runs smoothly behind the scenes : vendors, guests and venue staff all working in unison to bring your vision to life while you live that moment. It’s your insurance policy that problems get erased before you know about them and that nothing gets in the way of everyone having the best time.
Our day-of coordination service includes a venue walkthrough the day before to anticipate logistics and align with the on-site team. Coordination can extend beyond the wedding day itself, whether for a rehearsal dinner, post-wedding brunch, or rentals pickup, with flexible half-day options if needed. Also recommended is D-30 consultation to review the timeline and details 30 days before your wedding day.
Day-of coordination starts at 1,600€ for peace of mind, from the first moment to the last.
“We also hired Travellur for day-of coordination, and I cannot express how helpful this service was. Coco came the day before the ceremony to get oriented with the property and immediately identified where to set-up the ceremony so that we would have a perfect Provençal backdrop for photos. My anxiety disappeared the moment I met Coco, and I knew the day would be perfect. On the wedding day, she set the most beautiful table, coordinated and worked with other vendors, continuously checked on me and my daughter, and handled details that I had not even considered. I was able to enjoy the special day with my family.
”
The Don’ts
Don’t wait until the last minute
Last-minute decisions often come with stress and compromises. Creating a sensible planning timeline where each element builds on the last and giving yourself plenty time to consider the best option for each decision allows for calm, thoughtful choices.
Don’t overlook travel logistics
Airport transfers, luggage rules, customs, currency exchange, timing, accessibility. These details directly impact how your guests show up at your wedding and colors their memories of their entire trip. Do not leave this to chance.
Guests feel more confident when travel details are clearly thought through and communicated, especially in a foreign country.
Don’t plan too many activities
Leave space for rest, wandering and unexpected pleasures. Some of the most beautiful memories happen between scheduled events. Give your guests the luxury of zero expectations and allow each to move at their own travel pace with curated recommendations.
Our travel planning team can provide customised travel solutions for all your guests such as accommodations, transfers, unique experiences and our personalised guides. It’s like having a travel agent for your wedding at no cost to you.
Don’t assume everything will go perfectly
Pricing changes, conditions evolve, guests have emergencies, vendors adapt. Flexibility is the secret ingredient of a beautiful destination wedding. This is why having a calm, experienced hand guiding you makes such a difference when life happens.
